Our client is seeking an Executive Administrative Assistant to provide secretarial and administrative support to several corporate level executives and staff.

Essential Duties and Responsibilities 
  • Manage, maintain and organize several executive daily calendars and schedule meetings.
  • Coordinate, arrange and schedule all travel arrangements, both domestic and international trips.  Coordinate and prepare agendas and distribute materials. 
  • Process expense reports.
  • Prepare a variety of high quality reports, presentations and other correspondence and documents using various PC software applications.
  • Maintain confidential information and files.
  • Screen and respond to incoming calls, email and other highly sensitive communications.  Direct all calls to appropriate party promptly and efficiently.
  • Coordinate activities between departments and outside parties.
  • Contact other company personnel at all organizational levels to gather information and prepare reports.
  • Serve as primary administrative liaison and point of reference for executive staff.
  • Manage and maintain filing system.
  • Prepare materials for mailings, shipping or courier pick up.
  • Order department supplies and place service calls on department fax and printer equipment
Minimum Qualifications and Experience
  • Business School or college degree preferred.
  • Minimum 5 years executive administrative assistant level experience
  • Advanced level of experience with MS Office applications including Word, Excel, PowerPoint and Outlook and Internet.  Strong proficiency with computers.
  • Experience in a corporate or executive environment
